The organization setup checklist will help you take advantage of Change Machine's account configuration options. Your customized options will then be visible for your organizations' users on tools and in COACH.

  • Set Logo: Personalize Change Machine's tipsheets by submitting your organization's logo to Tech Support.
  • Setup Sites: Add a site for each of the different locations your coaching activities take place.
  • Setup Projects: Add a project for each of your different service initiatives.
  • Setup Referral Partners: Add a referral partner for each of your incoming referral sources or outgoing referral partners.

Use the opt-out link for any configuration that does not apply to your organization or program.

Tip: Click the View Organization link to start setting up your organization. Track your setup progress back on the Welcome tab.

Set Logo

Submit your organization's logo so that it will appear on Change Machine's tipsheets.

Tip: Your organization's logo will only appear on tipsheets, and not worksheets, as worksheets are not dynamically generated.

1. Send a copy of your logo to tech support for upload.

To contact tech support, click on the conversation bubble on the bottom-right side of Change Machine.

Then, click on "New Conversation" and attach your logo to your conversation.

Your logo will then appear on Change Machine's tipsheets for you and your coaches, as a form of personal branding.

Setup Sites

Sites are the different locations your coaching activities take place. Each customer can be assigned to a primary site and each meeting can be assigned to a site. This allows you to report on customers served across your different sites. 

Add a site for each of your different coaching locations. Your organization's sites will appear as options on the new customer form and new meeting form in COACH.

1. From the MANAGE landing page, click on the "View Organization" link on the right.

2. Click on the "Related" tab.

3. On the Sites section, click the "New" button.

4. Fill out the Site Name field.

5. Select one or multiple Site Services.

These are the different types of meetings that occur at that coaching site.

  • Coaching Meetings: In-person, Phone Call, Out-of-meeting progress
  • Lead Meetings: Taxes, Inquiry, Workshop, Light-touch

Once this is entered, your coaches will be able to select the site in the "New Customer" form and "New Meeting" form in COACH.

Tip: Unless you know otherwise, most sites are In-Person, Phone Call, and Out-of-Meeting Progress.

6. Click the "Save" button.

7. Repeat steps 4 - 6 to add each of your site.

Deactivate Sites

To deactivate a site you've created, click on the inverted triangle next to the site, and click Edit.

Then, uncheck the "Active" box to deactivate the site.

Setup Projects

Projects are the different initiatives in your organization. Each customer can be assigned to a specific project. This allows you to report on customers served across your different projects.

Add a project for each of your different service initiatives. Your organizations projects will appear on the Assessment tab during customer intake in COACH.

1. From the MANAGE landing page, click on the "View Organization" link on the right.
2. Click on the "Related" tab.
3. On the Projects section, click the "New" button

4. Enter the Project Name.
5. Click the "Save" button.
6. Repeat steps 4 - 6 to add each of your project.

Deactivate Projects

To deactivate a project you've created, click on the inverted triangle next to the project, and click Edit.

Then, uncheck the "Active" box to deactivate the project.

Setup Referral Partners

Adding Referral Partners allows you to track customers getting referred into and out of your program. Each customer can be assigned to a referral source and multiple outgoing referrals can be entered on a meeting.

1. From the MANAGE landing page, click on the "View Organization" link on the right.
2. Click on the "Related" tab.
3. On the Referral Partners section, click the "New" button.

Tip: When you complete your organization's setup, the Welcome Tab and Getting Started Checklist will hide.

4. Enter the referral partner's name in the "Referral Partner Name" field.

5. Tick "Sending Incoming Referrals" and/or "Accepts Outgoing Referrals".

Some referral partners may be sending customers into your program, while others may be receiving referrals from your program. Yet others may also be both a referral source and an outgoing referral partner.

Depending on what you plan to track, check the appropriate checkboxes here.

6. Click the "Save" button.
7. Repeat steps 4 - 6 to add each of your referral partner.

Incoming referral sources will then appear on the new customer form in COACH:

Outgoing referral partners will appear on the Referrals worksheet in COACH:

Deactivate Referral Partners

To deactivate a referral partner you've created, click on the inverted triangle next to the referral partner, and click Edit.

Then, uncheck the "Active" box to deactivate the referral partner.
